• How the Tax Agent Portal can help you

You can use the Tax Agent Portal to:

    Adding clients

You can only add one client at a time.

When you are using the portal, you will be asked if you want to update your activity statement delivery preference from postal to ELS (if you are a registered ELS tax agent and act as the registered tax agent for the client’s activity statement accounts). If the activity statement is currently delivered through the portal or ECI, your request to change the delivery preference to the portal will be unsuccessful – you will need to phone us on 13 72 86 Fast Key Code 3 3.

Clients that do not have an obligation to lodge

To advise us that your client no longer needs to lodge a tax return or that further returns are not necessary, you need to update their details on the Tax Agent Portal. Enter your client’s TFN in the ‘Your client’s TFN/ABN’ field and choose ‘Lodgment status – income tax’ from the drop-down list in the ‘Select client’ view options box (the ‘Your clients’ field is located at the top right hand corner of the screen). Select the Search button to proceed.

The lodgment status screen lists the client’s lodgment details for the current year and the previous three years, where applicable. Scroll to the bottom of this screen and select the Return not necessary screen. You can then select specific years for which your client has no obligation to lodge a tax return (return not necessary).

If your client no longer has an obligation to lodge further tax returns, choose the first year from which returns are not required to be lodged, and select the Next box to submit the transaction.

Note that an RNN can’t be lodged for regulated super funds. It is compulsory for a regulated super fund to lodge a fund income tax return unless the fund was wound up in a prior year, which is the reason you can’t lodge an RNN for a regulated super fund.

This function is unavailable in both the ELS and the Tax Agent Portal to ensure that, if lodgment does not occur, we will take compliance action.

    Lodgment status reports

    Creating and viewing reports

The portal has two downloadable reports to help with your client's lodgment obligations:

    • the income tax lodgment status report provides a client list showing the lodgment status for each client for the current financial year and three previous years.
    • the outstanding activity statement report lists all unlodged activity statements for your clients for the last three years.

To view these reports, select Reports from the left navigation bar on the Tax Agent Portal home page. The ‘Income tax lodgment status report’ and the ‘Outstanding activity statement report’ are on-demand reports created when you request them, and include real-time data.

The 'Income tax lodgment status report' includes all clients you are authorised to ‘act on behalf of’ for income tax purposes.

The due dates do not include substituted accounting period dates for individuals, partnerships or trusts.

    End of attention

Clients with ‘further returns not necessary’ or ‘return not necessary’ indicators will be included in the report. When you notify us that a client is in a ‘further returns not necessary’ category, it will not remove your authorisation from our records. If you don’t want these clients to appear on your portal lodgment lists, through the portal or the ELS CU transaction.

The 'Outstanding activity statement report' displays any unlodged activity statements for each client if you are authorised to act on that account. To get a copy of these reports, select the relevant report link and go to the ‘Confirm request’ screen. Select the Submit button to create the report.

A report will be available to download for one week from its creation. After this, it will be deleted and the download link will no longer be displayed on the ‘Reports’ screen.

    End of attention

After selecting Download, the ‘Download report’ screen will be displayed. To select the file format for the report to download, choose 'Download CSV file', or 'Download zipped CSV file.

    To save the report either:

    • single right mouse click on the Format type link, select Save target as or Save link as from the drop down menu and select the folder on your computer to save the file to
    • select the Format type link and when a Windows download page displays, select the folder on your computer to save the file to.

    Filtering portal lodgment reports

Tax Agent Portal client lists can be manipulated using Excel or other spreadsheet applications to help identify and isolate certain client groups.

Example – tax level 6 individual and trust clients

To view your tax level 6 individual and trust clients whose returns are due by 31 March 2014 and are not yet lodged; complete the following steps to retrieve the details using Excel:

    • download an ‘Income tax lodgment status’ report
    • open the file in Excel
    • select Data, then Filter and then AutoFilter
    • select the arrow at the top of each column
      • 2013 status and select Not lodged
      • 2013 lodgment due date and select 31 March 2014
      • Tax level and select 6.

If company and super fund clients have been retrieved, you can exclude them using the following steps:

    • click on the arrow at the top of column B Client type and select Custom
    • select equals and type individual
    • select the or operator
    • select equals, type trust and select OK.

Filtering hides records that don’t match the desired criteria. To restore all records to view, select Data, Filter and then Show all.

You can apply similar filtering processes to the ‘Outstanding activity’ statement report.
