• SMSF member verification system

    APRA-regulated super funds and their administrators can use the self-managed super fund (SMSF) member verification system to confirm if a member requesting a rollover to an SMSF is a member of that SMSF.

    You can access the system through our Business Portal. You'll need an AUSkeyExternal Link registered with the ABN of your super fund (not your corporate trustee's ABN).

    Access for staff

    Once you have an AUSkey registered with the ABN of the super fund, a staff member with administrator-level access will be able to give access to other staff.

    One or more staff members can be set up with AUSkey administrator-level access. These staff members will be able to create additional users and unlock, disable, enable and reset passwords for staff accounts.

    Register a standard AUSkey for each staff member through the AUSkey websiteExternal Link.

    Once you have registered a staff member with a standard AUSkey, we will send them a confirmation email.

    Staff log in to the portal

    Install the common-use signing interface (CSI) software (this is the AUSkey security software) on each computer you use to access the portal, if it has not already been installed.

    To install the software, select Download and install in the confirmation email.

    You may need to arrange the installation of new software with your IT area, depending on the IT setup of your organisation.

    After you have successfully installed the CSI software:

    • log into the Business PortalExternal Link
    • a message will advise you that administrator approval is required. Advise a staff member who has administrator-level access that you have logged in.

    You will not be able to use the portal until your AUSkey administrator has approved your access.

    This approval is only required the first time you log in to the portal with a new AUSkey.

    Authorise staff

    1. Log into the Business PortalExternal Link.
    2. Select Online access manager in the left-hand navigation menu.
    3. Select the Maintain staff access to your business sub-menu.
    4. Select the staff member and View access details.
    5. Update user access by adding access to the Search and verify SMSF member function and removing access to any functions which the staff member does not require.
    6. Approve and submit the changes.
     

    Make sure you provide access only to staff that need those systems. You should have procedures in place to remove staff access if they are no longer required to access the Business Portal on your behalf.

    Access for administrators

    If your APRA-regulated super fund has a fund administrator, you need to authorise their access before they can use the SMSF member verification system on your behalf.

    Your fund administrator will also need to have their own AUSkey registered for their organisation to access the Business Portal.

    1. Log into the Business PortalExternal Link.
    2. Select Online access manager in the left-hand navigation menu.
    3. Select the Authorise another entity to act on your behalf and set access to functions sub-menu.
    4. Select Appoint new entity.
    5. Enter the fund administrator's ABN and select Check ABN.
    6. Ensure the details displayed for your fund administrator are correct.
    7. Add access to Search and verify SMSF member and remove access to any functions which the fund administrator does not require access to.
    8. Sign the AUSkey by selecting Submit.
    9. Enter your password and select Continue.
    10. A confirmation screen will be displayed showing that the transaction has been completed. We recommend that you print this for your records.

    4. Select the staff member and View access details.
    5. Update user access by removing access to any functions which the staff member does not require. This access can be limited to 'View and action own mail'.
    6. Approve and submit the change.
    7. Select the Maintain staff access to other business sub-menu.
    8. Select the ABN of the super fund your staff needs access for and View authorised staff for that ABN.
    9. Add the staff member for the super fund.
    10. Add access to the Search and verify SMSF member function and remove access to any functions which the staff member does not require.
    11. You will then receive a confirmation message stating that the staff member has been granted access.
     

    Make sure you provide your fund administrator with access only to the systems they need. You should have procedures in place to remove access from your fund administrator if they are no longer required to access the Business Portal on your behalf.

    The guide provides advice on suggested practices and checks you should complete before you make a transfer or rollover into an SMSF. It also includes advice on incorporating the SMSF member verification system into your procedures and processes.
