• Adding and removing clients

    You can use the BAS Agent Portal to add clients to your client list, update most details for existing clients, and remove clients from your client list.

    Incomplete, incorrect or missing data can cause errors, delaying processing. Take extra care when adding a new client to ensure their name, date of birth, address and gender are correct.

    You should only add clients once they have authorised you to act on their behalf.

    Adding a client

    When adding a new client, you will need their:

    • Australian business number (ABN) or withholder payer number (WPN)
    • Name, date of birth, and gender.

    Date of birth and gender are only required when adding an individual client.

    These details must be the same as the details we have. To check a client's details, you can refer to previous correspondence we have sent them.

    To add a client, you must first be given functional authorisation through Access Manager by your administrator. Your administrator must be one of the following:

    • an administrator AUSkey holder
    • a standard AUSkey holder with delegated administrator access.

    Where to start

    Login to the portal, go to Your clients in the left menu and select Add client.

    To add your authorisation to another activity statement role for an existing client:

    • enter the client's ABN on the portal home page (under Your clients)
    • select Authorisation summary from the drop-down menu.

    After you have added the client, go to the Client details function to update the postal address, email address, contact details and phone number.

    Update the email address

    The email address listed against your client's activity statement role is the one that will be used to advise when their pre-populated activity statement can be accessed on the portal.

    Depending on arrangements with your client, that email address can be yours or your client's.

    If it is your email address, you will receive one email listing all the clients against your email address, whose activity statements were generated for that due lodgment date.

    Where to start

    On the 'Client details' screen, select Email addresses, then select Update.

    On the 'Update email addresses' screen:

    • enter the new email address details (either yours or your client's, depending on who should receive the advice that the activity statements are available)
    • select the Roles you want to update the details for
    • select Next.

    On the 'Authorise transaction' screen, select Submit.

    Authorisation removed

    Only one tax or BAS agent (registered agent) can be added for each role/account.

    If your access to your client's activity statement role appears to have been removed, check with your client to confirm if their income tax agent has added themselves to that role in error.

    If this has occurred, you will need to add the client to your client list again.

    Unable to add a client

    Some clients may not be able to be added to your client list immediately using the portal, including where the tax file number (TFN) belongs to a security-assessed client, including:

    • clients at risk
    • special interest clients (includes well-known people)
    • ATO staff
    • contractors and other government employees.

    To have these clients added to your client list, you can phone 13 72 86 Fast Key Code 1 1 3 – note that you will have to provide proof of identity.

    Removing a client

    You can use the BAS Agent Portal to:

    • remove a client from your client list
    • end your authorisation for a particular activity statement role.

    To remove a client, you must first be given functional authorisation through Access Manager by your administrator. Your administrator must be one of the following:

    • an administrator AUSkey holder
    • a standard AUSkey holder with delegated administrator access.

    Before you remove a client from your client list you should first check other information that may need to be removed and updated. Updating the client information with the last known contact details should prevent us contacting you unnecessarily.

    From the portal Client details screen you can review and update the:

    • postal addresses
    • email address
    • contact details and phone number.

    Where to start

    Once you have logged into the portal:

    • enter the client's Australian business number (ABN) under Your clients on the home page
    • select Authorisation summary from the drop-down menu
    • select Search
    • on the Authroisation summary screen select Remove client.

    You cannot search for withholder payer number (WPN) clients from the portal home page. You will need to use the Client directory and search for the WPN client by name.

    After you finish

    Removing a client using the portal will update our records immediately.

    You will also receive a reference number when you submit the request and can print a confirmation for your records.
