    Retrieve a report

Depending on the size and number of outstanding reports, your system could remain in 'receive mode' for several minutes before allowing you to transmit returns.

A file containing a report will have the name RPTttrr:

Find a report on your computer

After you have downloaded the reports, the data will be available on your system.

    Windows 10

To find where the reports are stored on your computer (using Cortana – quick search and/or voice recognition):

    • select the Search box on the taskbar, and type what you're looking for – you can also tap or click the microphone icon if you'd rather say it
    • type RPT*** to search for an ELS Report – substitute the asterisk with the specific report type
    • after you enter a search term, tap or click My stuff to find results for files, apps, settings, photos, videos, and music across your PC and even OneDrive.

    File Explorer

To find where the reports are stored on your computer:

    • open Start Menu
    • select File Explorer
    • type the name of the file that you want to search in the Search dialogue box at the top right – you need to be in the folder where you want to conduct the search so select the search location from the drop down menu to the left of the search dialogue box
      • for example to search the whole computer select the appropriate hard drive listed, to search only your documents, click Documents when you open File Explorer
    • type RPT*** to search for an ELS Report – substitute the asterisk with the specific report type
    • when you find the file you want, right click on the file and from the menu, select Open File Location to see that file in the folder that contains it.

    For older versions of Windows

To find where the reports are stored on your computer:

    • open Windows Explorer
    • select Tools
    • select Find
    • select Files or Folders
    • type RPT*** in the Named box
    • select My computer in the Look in box
    • select Find now.

This should display all the ELS reports stored on your computer for the specific type searched. You should go back into your ELS software to view the reports using the location you just found. Contact your ELS digital service provider for instructions on how to view reports using the ELS software.

Previous and current reports with the same name

Due to naming conventions, a newly downloaded report may have the same name as a previously downloaded report. This occurs when unsolicited reports of a particular type for different income years are delivered on the same calendar day of the income years in question.

    Example

An EFT reconciliation report that was delivered on 4 May 2013 would have the same name as a report delivered on 4 May 2012 – RPTRS124.

If the report for 4 May 2013 was still stored in your software, and a report of the same name is downloaded in the current year, your software may rename one or both of the files to ensure the file names are unique (for example, RPTRS124_1 and RPTRS124_2). In this situation, you could open the report for the wrong year by mistake.

    End of example

How the ELS software manages this situation differs from product to product – refer to your software user guides to ensure you are looking at the report for the correct year.

    Accidental deletion of downloaded reports

The ELS provides a level of backup by saving copies of some of our business system reports on the gateway, once your computer successfully receives them. You can then retrieve them at a later time if necessary.

If you accidentally delete (or cannot locate) a report, refer to your software user guide for advice on retrieving previously downloaded reports.

Even if you find it preferable to use this facility than to submit an additional report request and wait for a day to receive it, you should only do so if your software supplier recommends it to recover lost data – in particular for unsolicited reports.

However, we cannot guarantee that a report can be retrieved in this way. For some reports, the nature of the information we provide may dictate that no copy is kept on the gateway once you receive it. Also, the number of report copies kept, and the time they are kept, may vary from one report type to another.
