• Lodgment status reports

    The two lodgment status reports available in the portal are:

    • Income tax lodgment status report
    • Outstanding activity statement report.

    Income tax lodgment status report shows income tax returns for the current financial year and the three previous years for your clients and whether they are:

    • lodged
    • not lodged
    • not expected to lodge.

    Outstanding activity statement report lists all outstanding activity statements for your clients for the current financial year and the previous three years.

    Accessing the report

    To access the reports:

    • select Reports from the left-hand menu
    • select On-demand reports.

    Delivery timeframe

    These reports will generally be available for download within one hour from the time of your request. Larger report requests will be processed overnight.

    The report will be available once the report status shows Download.

    You can then download and save these reports and work with them using common spreadsheet applications.

    Income tax lodgment status report

    The report format below shows the results based on using the filter 'Show all clients'. Each section has a table of 10 columns of lodgment details relating to the client record. The details in the reports are displayed with text wrapping.

    Client name

    The legal or main name of your client.

    B

    Client type

    Your client's type can be:

    • individual
    • company
    • partnership
    • government
    • super fund
    • trust.
     

    C

    TFN

    Your client's tax file number.

    D

    Current year status

    The lodgment status of your client's return for the specified income year. Possible values are:

    • for 'Lodged'
      • assessed
      • issued non-taxable
      • issued taxable
      • lodged
       
    • for 'Not lodged'
      • demanded
      • not lodged
       
    • for 'Not necessary' includes both of the following but does not show the distinction
      • 'further return not necessary'
      • 'return not necessary'

    E

    Current year lodgment due date

    This is the lodgment due date for the client's current income tax return. Alternative arrangements may be available for some due dates depending on the client's circumstances. For more information, refer to the current year lodgment program.

    F

    Tax level

    Displays your client's tax level for lodgment purposes.

    J

    Last year lodged

    Displays the most recent year return that your client has lodged.

    Using the income tax lodgment status report

    Overdue income tax returns

    Check whether your clients have outstanding income tax returns for the current financial year and up to 20 previous years:

    • enter your client's tax file number on the portal home page under Your clients
    • select Lodgment status – income tax from the drop-down menu
    • select Search
    • select Return not necessary
    • The Return not necessary – income tax screen will display outstanding income tax returns for that client.

    Example

    If you want to view your tax level 6 individual and trust clients whose returns are due on 31 March, but not lodged:

    • select the View Not lodged filtering option and download an income tax lodgment status report
    • open the file in Excel
    • select Data, Filter and then AutoFilter
    • select the arrow at the top of
      • column E [current year lodgment due date] and select 31 March 2013
      • column F [tax level] and select 6.
       

    If company and super fund records have been retrieved, these can be excluded:

    • select the arrow at the top of column B [client type] and select (Custom)
    • select equals and type 'individual'
    • select the or operator
    • select equals and type 'trust' and select OK.

    Filtering hides records that don't match the desired criteria. To restore all records to view, select Data, Filter and then Show all.

    If you use other spreadsheet applications, similar features are available under the database menu.

    Your client's Australian business number.

    D

    Client account number

    This is the role number of your client's tax type – for example, 001.

    E

    Client account status

    This displays the current status of the specified account.

    F

    TFN

    Your client's TFN. This will only be displayed if you are authorised to act on behalf of the income tax account for this client.

    G

    WPN

    The withholder payer number.

    H

    DIN

    Document identification number of the outstanding activity statement.

    I

    Status

    The status of the outstanding activity statement can be either:

    • 'new' for sent
    • 'held' if it has not been sent.
     

    J

    Hold reason

    If the status is 'held', this column provides the reason why the outstanding activity statement is held along with the action to take.

    K

    Type of activity statement

    Displays the type of activity statement:

    • business activity statement
    • instalment activity statement
    • annual goods and service tax (GST) return
    • annual GST information report
    • annual instalment activity statement.
     

    L

    Form description

    The name of the outstanding activity statement.

    The following forms may be eligible for the electronic lodgment concession as long as your client reports quarterly and the period end date is 30 September, 31 March or 30 June:

    • form A
    • form B
    • form C
    • form D
    • form F
    • form I
    • form J.

    The electronic lodgment concession first applied for the June 2003 quarter.

    M

    Period start date

    The reporting period start date of the outstanding activity statement.

    N

    Period end date

    The reporting period end date of the outstanding activity statement.

    O

    Due date

    The due date or deferred due date for lodgment and payment of the outstanding activity statement.

    The deferred due dates available under the electronic lodgment concession for quarterly activity statements will not be displayed.

    Differences between portal and the ELS client lists

    There are small differences:

    • Portal lists are a complete list of client records which have your registered agent number recorded
    • ELS lists are ‘expected lodgement lists’.

    Where we have been notified that a client does not to need to lodge future returns (further returns not necessary), the client will no longer appear on your ELS client list, but will still appear on the portal list.
